- Begin with a list and consult other decision-makers to create it. The list should name the most important goals of the meeting and be as specific as possible. Try to keep these at five top goals or less.
- Next to your top goals, come up with how this goal is going to be met. For example, next to "build relationships," write "by planning dedicated small group time into the itinerary daily."
- The most common way planners choose a venue is by location. Although this is undeniably vital, being in the city center versus being just outside will likely only add a few more minutes onto travel time. Choosing the less obvious choice will also save money leaving more in the budget for a few nice extra perks.
- Speaking of little extras, these are the things that attendees tend to remember the most! For example, if you plan to end each day with a fire pit cocktail chat or leave a welcome snack basket in each room, this will almost always be the first item mentioned when chatting about it to friends and family. A memorable meeting is a better meeting, after all.
- Don't forget to get outside your own mind and remember everyone. Cater to those naturally shy as well as outgoing with more breakaway time. Keep accessibility concerns top of mind as well.
